How Helix International MARS Watcher works

The first step taken by the Helix International MARS Watcher utility program is to watch all output data that it is set to receive. The Helix International MARS Watcher receives files and determines how to process the information based on what set of rules the data initiates. If the Helix International MARS Watcher determines that the data is collected in error, it will send notifications to admin end users to address the fault. If there are no errors, then it prepares the recorded data for the next step.

The data can come from various sources but the most common is any output generated by printing processes. The Helix International MARS Watcher can record any data that is captured by Line Printer Daemon queue (LPD). Print files being exported from PCs, simple terminals, or even Mainframes, can be taken and re-purposed for more detailed reports.

The second step is the TEXT to XML process. The program can transform XEROX metacode, PCL, Postscript, Advanced Function Printing (AFP), PDF, and other Print (text) based applications to XML. By recording the data from various print sources, it allows us to quantify the data and repurpose it into combined, organized, normalized data. Multiple companies and departments may have information that pertains to a common source. If so, the TEXT to XML process collects all of that useful data allowing you to create new reports with robust collective information.  It’s a non-disruptive method to reuse data and it provides an output to create new documents based on combined output from multiple sources.

The third and last step of the Watcher utility is to present the converted data. The data is presented based on your specifications during setup. Customize your output templates with your logos, fonts, page formats, calculations and more. There is no need to hire a specialist to make future updates. Our intuitive Graphical User Interface allows your system administrators to make stress-free changes.

How Helix International MARS Watcher works

The MARS WATCHERS PROGRAM offers a unique Prediction Capability that will send alerts to your system administrators if there are found irregularities in interrelated documents that are being migrated.

Predictors

The Prediction Capability can tell you what’s going to happen and when it’s going to happen, all before it happens.

The data-capture process is used in the creation of a Prediction Analysis that is based on a historical data – the more data your system contains the more accurate it becomes.

Based on both a prediction and the notification of exceptions and the frequency of these exceptions, the Predictor can tell you what expected operations failed to occur before your users notice saving you time and money.

Data conversion to universally supported standards

Exchanging data between environments can be, and often is, problematic. Often, data exchanges are on different platforms in disparate environments and clients would not know the data production formats (e.g., LINE DATA, .PDF, .TIFF or NATIVE), or fail to request what type of load file(s) to be used (Note: A load file is used to import a dataset from one disparate environment to another in a Document Management System). There are different and sometimes proprietary load file formats for a given system. These generally could contain comma delimited (or not) field and index information that correspond to metadata.

At Helix International, we use a Document Transformation/Document Composition system that allows a client to obtain data from any source and render it into any format that can be sent anywhere.  This results in reduced costs, consolidated views on systems, with improved operational efficiency; increased customer retention and minimal impact to existing IT applications and staff, enabling the client to have one solution with faster time to market.

We use our customized programs (MARS Utilities) that enable us to extract data from any system using our unique five phase methodology as shown below:

The MARS Conversion (Five Phase Methodology Process)

1. EXTRACT – The process that extracts the metadata values from the data

2. IMPORT – The process that takes the Extract Files (decompressed) and imports (compressed) them into the MARS Utility

3. TRANSFORM – The process that reformats the metadata for ingestion using either XSLT or FOP  depending on (e.g. extension) type of file

4. EXPORT – The process of pushing the metadata values and the Object File(s) for ingestion into the target environment

5. INGEST – The Ingest process puts the files in the proper format and location for the target system to receive them properly.

.TXT-TO-.XML

A universally accepted file format XML (Extensible Markup Language) is an open standard that is used for the
transport of data and it is platform independent. It supports Unicode which means it can be used in different
countries that have different language and character sets.

Furthermore, because the Extensible Markup Language is describable, the data types, data structure, names and
associated data can describe everything in the dataset (i.e. metadata, fields, values) and handle duplicate data (or
parent/child) data using unlimited tags.

  2. The TEXT TO XML MARS API program is called via API to convert the Text File to XML
  3. The MARS Server will store the XML File with an associated Template for creating the output (using Apache FOP if applicable) for storing and/or sending it via FTP or LPR to the Destination System.

.XML-to- .PDF

Figure below shows a MARS Process Overview for converting an .XML File to a .PDF File. As you can see the
process is almost similar to the .TXT to .XML with the big difference being in this process typically a
stylesheet/overlay may be used and then the data is outputted as a .PDF File.

Receive and process reports, documents and scanned images

Scanning / full text Optical Character Recognition (OCR)

Documents are typically received by companies in one of the following ways — via mail, in person delivery, electronically (i.e., fax, e-mail), and in court. Scan Operators are then made responsible for preparing a batch that is then scanned and, if necessary, reviewed, validated and updated.

If a batch contains a mixture of Structured and System Generated documents, as well as Unstructured Documents,
the Scan Operator needs to use a separator sheet between the:

  • Structured Documents and Unstructured Documents
  • System Generated Documents and Unstructured Documents

If a System Generated document precedes a Structured and/or Unstructured Document, the system assumes that
those documents are associated to the same case/participant and applies that metadata to them. If this is not the
case, the worker must correct the metadata in Verify.

Accessing DotScan

Once a batch is prepared, the worker accesses DotScan in order to create the batch and scan the pages into the system.

Image View

  • The Image View section allows the Scan Operator to view each page that is scanned in.

Settings

  • The Settings section allows the Scan Operator to set information related to the batch being scanned, as well as, perform various functions in the DotScan program.

  • The Batch View section allows the worker to see the pages for the batch in a list format.

Scanning a Batch

Once a batch is prepared, the pages are scanned into DotScan.

Batch Review

After all the necessary documents have been added to the batch, the Scan Operator is required to review all pages that are a part of the batch. If necessary, a page can be removed, moved, inserted or rescanned into the batch before it is finished.

Finishing a Batch

Once a batch is scanned, reviewed and updated as necessary, the Scan Operator releases the batch from DotScan.
